For Organizers / Race Setup Updated 16 Oct 2026

Organisation Members & Staff

Invite staff to your organisation, assign roles, and manage who has access to your races.

Overview

Every organisation has one owner and can have multiple members with the Manager or Staff role. All members can access and manage all races under the organisation.

Location: Your organization dashboard → Staff (in the sidebar) — this opens the Staff Members page. If you're the owner, the invitation form and your pending invitations are at the top of the same page.

Only the owner can invite, remove, or change the role of other members.

Roles

Role Access
Owner Full access to every race. The only role that can invite, remove and change the role of members, edit the organization's Branding, connect Stripe, and delete the organisation. Cannot be removed.
Manager Can open and manage every race in the organisation. Cannot do the owner-only actions above.
Staff Currently the same access as Manager.

The Manager and Staff roles don't differ in what they can do today.

Inviting staff

  1. Go to Staff in your organization dashboard.
  2. Under Invite Staff Member, enter the person's email address.
  3. Select a role: Staff or Manager.
  4. Click Send Invitation.

An invitation email is sent with a link that expires in 7 days. You can't invite someone who is already a member, or who already has an active pending invitation.

Pending Invitations are listed below the form, with who sent each one and when it expires. You can:

  • Resend — sends a fresh invitation email with a new 7-day link
  • Cancel — invalidates the invitation

Managing existing members

From the Staff Members list, the owner can:

  • Change role — Switch a member between Staff and Manager. The owner role cannot be changed.
  • Remove — Removes the member from the organisation after a confirmation. They lose access to the organisation and all its races immediately. The owner cannot be removed.

Other members can see the list, but not change it.

Notes

  • There is no limit on the number of members.
  • Members must accept their invitation to gain access. Opening the link while logged out asks the invitee to log in or create an account; they join automatically once they do. They must use the same email address the invitation was sent to — otherwise the invitation can't be accepted.
  • A user can be a member of multiple organisations simultaneously.
