Requesting a Payout from RoxRace
If RoxRace collects fees on your behalf, here's how to request a bank transfer after your race.
When to request a payout
Payout requests apply when your race uses the RoxRace collects payment mode. In this mode, RoxRace holds all registration fees until you request a transfer after your race.
How to submit a payout request
- Go to your race in the organizer dashboard
- Navigate to Race Management → Setup → Payment
- Fill in your bank details:
- Bank name
- Account holder
- Clearing number and Account number (Swedish accounts), and/or IBAN / BIC/SWIFT (international — both optional)
- Review the payout amount — this is the total paid registrations minus refunds, the platform fee and Stripe processing fees
- Click Request payout, then confirm in the dialog that appears
Your bank details are saved to your organization, so you won't need to re-enter them for future races.
Payout amount
The payout amount shown is calculated as:
Total paid registrations − refunds − RoxRace platform fees − Stripe processing fees = Your payout
If your race passes all or half of the platform fee on to athletes, the service fees they paid are part of Total paid registrations — so the platform fee they covered doesn't come out of your share. See Fee Handling Options.
Only payments made through RoxRace's checkout are included. Registrations you marked as paid by hand aren't — that money never passed through RoxRace.
Payout reference number
Every payout request gets its own reference number (shown on the request and in your confirmation email) — include it in your bank transfer's reference/message field if you ever need to match up a transfer with a specific payout.
Processing time
After you submit a payout request, RoxRace reviews and processes it. Transfers typically arrive within a few business days depending on your bank and country.
Payout receipt
Once a payout is marked Paid, you can download a PDF receipt for your bookkeeping: go to Payouts in your organization sidebar and click Receipt next to the payout. It shows the payout reference, the registration fees collected, and the RoxRace platform fee with its VAT.
